I (Leah Robb) have been planning weddings since 1994 starting in my hometown of Seattle, WA. My husband Judah and I started Island Wedding Memories on Maui in 1999.

Where should I start......First off, because we only accept one wedding per day, (see next question below) this allows us to give our brides and grooms our full attention. Every bride and groom is special to me and deserves to be treated as such. I pride myself on having great communication with all of my brides, getting back to them with any emails or phone messages they have for me on the same day, or the next day if they contact me in the evening. I really feel that you are not a "number" or a "date", but that you are important to me.

Actually, Yes this is true. We have tricks that we have learned over the 20+ years of planning weddings that truly come in handy when it comes to saving money on your wedding. Additionally we are familiar with many of Maui's top vendors, we can help you get the best value for your dollar by choosing one vendor over another. You will find that many vendors will charge you the bride more if you book directly with them than if we book them for you. Many vendors charge extra because they know that a bride that books direct will have lots of questions & requires more time, a wedding planner who books the same vendor can save as much as 1/4 to 1/3 of that cost because we already know all or most of the answers, thereby allowing the vendor more to their craft vs answering questions/concerns. Often the difference in cost more than makes up for the 15% coordinator fee that we charge + it allows you to enjoy your wedding day instead of juggling 10+ different vendors timing, duties, tipping, ect...

How many weddings do you accept per day?[ back to top ]

To be able to give our brides and grooms our best possible service and full attention we almost always only accept one wedding per day. On very rare occasions/circumstances will we accept an additional wedding on the same day. Usually the situation is that we will have a morning wedding, then an evening wedding. A number of other planners on Maui will accept multiple weddings per day (especially on "magic" dates like 10/10/10 ect.) really stretching there services thin. Be safe.....ask.....

What are the top 10 most common mistakes a bride makes when choosing a destination wedding coordinator?[ back to top ]

#1 - Basing Everything On Price

WHY A MISTAKE? - Remember the old saying, "You get what you pay for"? Well, it applies even more so when it comes to your destination wedding. This is the biggest day of your life and you as well as your guests are already spending thousands of dollars to come over here for your big day and honeymoon. Why not spend a little extra to make sure you get the wedding you have always wanted. There are no do-overs. I cant tell you how many times after the event is all done and over with that my brides tell me something like, "I should have listened to your recommendation!". Remember, I am your ally here. I'm not here to try and squeeze every last dollar out of you (ahem..I hope your reading this grooms..HAHA)... For me, its about making sure you have professional and quality vendors.

HOW I HELP YOU - I help you to work within your budget and still maximize the quality of your wedding. As I get to know my brides, I am able to discern what things are more important to them, and what things are less. #2 - Brides Don't Ask Enough Questions

WHY A MISTAKE? - Asking questions gives you more information. Information helps you to make an informed choice about choosing a wedding planner. Its important to know what your getting into and what you are buying.

HOW I HELP YOU - We provide you with as much information as possible. When it come to our website, our philosophy is that "You cant have to much information". I also am here to answer whatever questions you may have. Also, the FAQS page you are reading right now if full of answers to many questions that we know you may have covering a variety of subjects.



#3 - Not confirming that the wedding planner is fully insured, legal, and able to get beach permits for your wedding

Why A MISTAKE? - If a coordinator is not insured then they will not have a permit for your beach wedding. They are operating illegally and you run the risk of having your wedding shut down mid ceremony. They are not legitimate and professional wedding coordinators if they don't follow all state and county laws and put your wedding at risk of being disrupted. Also, a wedding coordinator cannot rent a private location for you without insurance.

HOW I HELP YOU - We are fully insured and will always cooperate with all state and county laws. You can have the peace of mind that you will never be at risk of a wedding or reception disruption because of this reason. How do you know if the planner you are interested in is legal? See #2 above. Also call the Hawaii State Department of Land and Natural Resources. They are the ones that regulate the beach wedding permits and will be able to tell you if they have their proper insurance.



#4 - Thinking that the customer service or abilities of your planner will change or get better as you go through the planning process

WHY A MISTAKE? - So many brides choose a planner based solely on the website or only how they mesh with each others personality. While these things are very important, they should not be the sole criteria. Are they organized? Do they communicate effectively and promptly? You may start out really loving the planners website and getting along great, like sisters, but then if she doesn't get back to you for many days or weeks, or she doesn't seem to be as organized as you would like....what make you think she will magically change in the weeks and months ahead? If they start out bad...they are not going to change.

HOW I HELP YOU - While I do feel that we have a very nice and informative website, and that I do have the ability to really mesh with my brides; I feel that organization and communication are KING. That to me is the definition of a "planner" or "coordinator". I put a lot of effort into staying organized and making my brides feel comfortable by communicating effectively and promptly.



#5 - Choosing a planner who takes on too many weddings

WHY A MISTAKE? - You run the risk of becoming a "Number", or a "Date" instead of a real bride/person that wants to feel special and to feel like your wedding is truly important to your coordinator. Many coordinators, especially the larger companies take on too much and consistently do multiple weddings per day.

HOW I HELP YOU - We only accept one wedding per day. (on rare occasions a couple times per year, I may accept a morning wedding ceremony only, then an evening wedding on the same day. But only if they are both small, intimate weddings) We also have a cap on the number of weddings we accept per month. We are not a large, faceless wedding company. We are a modest, family owned and operated company. I always tell my brides that I am a mom and wife first, and that I have a life outside of my business. That's how I stay grounded and fresh so that I can give the brides I do accept my best.



#6 - Choosing a planner based solely on how the website looks

WHY A MISTAKE? - Anybody can have a great website made...but what is behind it? Is there any substance? Do they have real testimonials? How many past weddings have they done? Can they give you actual referrals of clients they have helped? Are they part of a local wedding organization? Are they members of the Better Business Bureau and have a good rating? See #3 also about being insured.

HOW I HELP YOU - Bringing this point up is kind of a catch 22 question for us because we do have a great website....but....we are also backed up by.... hundreds of testimonials on our testimonial page.... I have coordinated over 1000 weddings since 1994....I have an assortment of past clients that I can put you in touch with as a referral....we are members of the Better Business Bureau with an A+ rating....and we are fully insured and cooperate with all state and county laws.



#7 - Choosing a planner who "Tries to do it all"

WHY A MISTAKE? - You cant be a professional at everything! I can't tell you the number of times I have been on the beach for a wedding and have seen another coordinator across the beach who is not only the coordinator, but also the minister performing the ceremony. They set up a tri-pod with a video camera on it and push "record". The husband is the photographer with a sub-standard camera....ect.ect. You may laugh, but its true. I'm not saying that coordinators don't have talents...but...really? really? :)

HOW I HELP YOU - I vet and hire all professional wedding vendors with a proven track record. All of the vendors I use, I have been using for years. I introduce a new one now and again, but only after knowing who they are, seeing there work, and seeing them in action around the island for an extended period of time. Here is another catch 22 for me in bringing this point up....I started in the wedding industry in 1992 as a professional wedding florist. So I do all my own floral, which you can see all across our website. But, my first priority is the planning of your wedding. Creating your wedding flowers is something I love to do and in no way interferes with the planning of your wedding. I have staffing that assists me when needed.



#8 - Choosing a wedding planner that doesn't mesh with your personality

WHY A MISTAKE? - The relationship between bride and planner is an intimate one. It really is a journey that you both want to see end up in success. You want your planner to know what you want and to be on the same page, especially since you are trusting this person to take care of you from 1000's of miles away.

HOW I HELP YOU - I would be fooling myself and you if I were to say that I am a perfect fit for 100% of every bride out there. I am a firm believer that there is "a planner for every bride, and a bride for every planner". But I do my best to work with many types and personalities of brides, and I try to adapt to each one the best that I can. In one month I may have a "shabby chic" bride, a "ultra conservative" bride, a budget bride, a "I know what I want" bride, a "needs more direction" bride, or a "casual fun" bride. After many years of experience, I feel that I am pretty successful at adapting. :)



#9 - You don't give enough information to your planner at the start

#10 - Not getting a written contract once you settle on a wedding planner

WHY A MISTAKE? - This of course protects you as well as the wedding planner. Are all the services and prices verbally agreed to also in writing? Is the payment policy set? Is the cancellation policy clear? Do you both know what you expect from each other? These are all things you would want in writing to prevent any misunderstandings in the future as the planning process moves along. Having a contract is a sign of professionalism.

When I ask for a quote, why do you ask me what my guest count and budget is?[ back to top ]

We ask this so that I can give you options on locations that will fit your needs.  For example if a bride is looking for a small wedding at a private estate with a budget too small to accommodate that, this allows me to offer other locations that will fit within her budget.  Or a bride may ask for an intimate wedding location with a guest count that is too large to accommodate that location, this allows me to offer other locations that will accommodate her guest count.  Additionally I pride myself in creating fully inclusive Wedding/Reception Quotes, this helps me to make certain that all fees/charges/gratuity, ect. are accounted for.

Will their always be a coordinator on location at my wedding?[ back to top ]

Yes, ALWAYS. There are no exceptions. Even if you are small wedding with just the two of you in our smallest Forever Yours package. Over the years, we have heard of some Maui wedding planners who coordinate and don't come onsite to assist on smaller weddings, leaving it up to the vendors to oversee everything. Be safe.....ask.....

Our different packages have different rates, but they all include our 15% coordination fee. Any items added to your packages or any wedding created exclusively from our A La Carte page will have a 15% coordination fee added to it.

What kind of weather can I expect for my wedding?[ back to top ]

Here is a chart of average daily temperatures and rainfall for Maui. The humidity varies from about 60-65% in the winter to 70-80% in the summer. Also, remember that the West Maui areas of Kapalua and Napili tend to get more rain. Whereas the South Maui areas of Kihei, Wailea, and Makena stay much drier.

Do you plan weddings on the other Hawaiian islands?[ back to top ]

No, we live on Maui (Leah since 1995, Judah since 1980) and feel that branching out to the other islands (Oahu, Kauai, Big Island) would lessen the quality of our service. It makes sense that if you live there, then you have a greater grasp of the details of the wedding locations, reception locations, vendors, ect. Please be aware than there are some Maui coordinators advertising on the internet who DO NOT live on Maui. In fact, a number of them live in places in the US mainland and try to coordinate weddings from thousands of miles away. Be safe.....ask.....

Do you carry liability insurance?[ back to top ]

Yes we do. In order to apply for wedding permits for Maui beaches, the  state of Hawaii requires that you must be a fully insured wedding planning company. No insurance = No permits.  So beware of companies who tell you that you don't need a beach permit. They are obviously not a legitimate insured company. Also, most of the private wedding and reception locations as well restaurants require the wedding planning company to carry insurance.

Do I need to have a deposit down for your services before you will give me a quote?[ back to top ]

Absolutely not! I have heard from some of our brides and grooms that some of the companies they have approached about their wedding have required this. It seems ridiculous to me! I will always give a customized wedding quote to anyone after we have discussed some of the details/wants of your wedding. I will also make adjustments until its what you want BEFORE you need to put a deposit down. But remember, your date isn't fully secured/reserved until I receive a deposit.

Because not all brides are the same, each with different personalities and tastes. Instead of offering and endless list of packages to choose from and having our brides and grooms possibly still not find one that fits there needs, we have these three to start from. Can I add or take something out of a package?[ back to top ]

Yes you can! In fact, we encourage it!  We want you to have the wedding YOU want. You can take items out that you may not want and add items you may want from the extensive A La Carte section of our web site. Just let me know and I will customize the quote for you. Just remember that each item added to the package has a 15% coordination fee.

Do I have to use a wedding package?[ back to top ]

No, absolutely not! If you would like to create a wedding exclusively from our A La Carte section of the website, feel free. Just remember that there will be a 15% coordination fee added to each item. If you use a package, this is already built in.

Do you include beach permits in your packages?[ back to top ]

Yes I do! It also includes a backup beach location in case of crowds or high tide. NOTE: If you are getting married at a private location, this will be deducted from your package.

Do you include the marriage license in your packages?[ back to top ]

No we dont...you will need to pay the $65 fee when you fill out your application online...BUT we do set up the appointment for you and give you directions to the agent's location. Although an additional $5 in CASH, for a marriage license agent service fee, must be brought with you and given to the marriage licensing agent.

Why do you have cider and not champagne in your packages?[ back to top ]

Maui County law prohibits wedding coordinators from providing alcohol on the beach. This would also violate the rules of the beach permit. In accordance with the County of Maui's policy of alcohol on the beach, we have replaced champagne with cider in all of our packages.

This however doesn't prevent you from bringing your own champagne or alcohol to a privately owned location and hiring our bar service. Call me for more information on this.

We pride ourselves in following all state and county regulations to prevent any inspectors from having any reason to remove us from the beach on your special day. This does happen on occasion and if you have been told by other coordinators that you can have alcohol on the beach for your wedding, you have been misinformed and run the risk of being removed from the beach. Possibly during your ceremony. If you chose Island Wedding Memories, this will never happen.

What's the difference between South Maui and West Maui?

This is a question I get a lot. I will try to answer this question as objectively as I can. But in my opinion with many years living on Maui, as well as experience in coordinating weddings on both sides of the island, I definitely do think that South Maui has a bit more pros and few less cons and would recommend it over West Maui. Although both sides are beautiful and its really a matter of preference. Many of our Brides and Grooms have been coming to Maui for years maybe even with family since they were young staying on one side or the other and they may just prefer one side over the other because of familiarity. You really can't go wrong with either side of the island. They are both great. We are really splitting hairs. But if want an opinion based on my experience, there you have it.

SOUTH MAUI (Kihei, Wailea, Makena)

PROS:
1. More beach permit options for your wedding
2. Sunset views not blocked by the smaller islands off of Maui
3. Since there are more beach options = Less chance for crowds or other weddings
4. Quieter, more relaxed atmosphere, less tourists and traffic
5. Less chance of wind at ceremony/sunset time
6. Less chance for rain

CONS:
1. Not as much nightlife/party atmosphere for after wedding partying
2. Slightly less choices for restaurants, but not by much

WEST MAUI (Olowalu, Lahaina, Honokowai, Kahana, Napili, Kapalua)

PROS:
1. More nightlife/party atmosphere for after wedding partying
2. Slightly more choices for restaurants, but not by much

CONS:
1. Less beach permit options for your wedding
2. Sunset views can be blocked by the smaller islands off of Maui
3. Since there are less beach options = More chance for crowds or other weddings
4. Busier atmosphere, more tourists and traffic
5. More of a chance for wind at ceremony/sunset time
6. More of a chance for rain (especially in Napili and Kapalua)
7. Many of our vendors have a West side drive fee since most live on the other side of the island
8. There is only one main road to West Maui, if there happens to be an accident, vendors can be late causing your wedding to be behind limiting your time for sunset photos. This honestly does happen a handful of times per year.

Is it common to stay in West Maui but have my wedding and reception in South Maui?[ back to top ]

Yes, it is very common. It's not a problem if you would like to do this. Please see the question above for the differences in South Maui vs. West Maui.

What's the difference between a public and private location?[ back to top ]

PUBLIC LOCATIONS:

Beaches and parks are public locations. You could have beach and park goers as well as other weddings taking place at the same time as yours. This means less privacy. Although the beach permits only allow a certain amount of weddings on a particular beach per day. However I will work with you to find a beach that is "off the beaten path". There are beaches that have less crowds and weddings on them and are as amazing as the most popular beaches for weddings. Another benefit of having a wedding coordinator who lives and has years of experience planning weddings on Maui!

PRIVATE LOCATIONS:

These are paid locations that you rent by the day, hour, or block of time. They are completely private, in the case of estates, or semi-private in the case of some of the bigger resorts. Just because you rent an outdoor space for your wedding at a resort doesn't mean you will have complete privacy. There may be other resort guests walking around on the outskirts of your event.

What's the difference between renting a private estate or a location at a resort for my wedding and/or reception?[ back to top ]

PRIVATE ESTATE:

A private estate means just that...private! You have the estate for the whole day, although there are some options to rent it for periods of time. You won't have anyone gawking or otherwise bothering you. We highly recommend this for your wedding if you can possibly do it. We can get much more out of your budget at a private estate than at a resort. We can bring in a caterer for a fraction of the cost of food and beverages at a resort. See below...

RESORT:

At a resort you can rent an outdoor location for your wedding or reception on resort property. But  just because you rent an outdoor space for your wedding at a resort doesn't mean you will have complete privacy. There may be other resort guests walking around on the outskirts of your event. At most of the resorts you can rent a ballroom for your reception that guarantee's privacy, but really, why come to Maui to get married and have your reception in a ballroom. That ballroom would look the same as any hotel ballroom in any city in the U.S. Just my humble opinion.....Also, resort prices for food and beverages are VERY expensive. Just to give you an idea, a bottle of Martinelli's Sparkling Cider at one large resort in South Maui will cost you $28.50 PLUS 20% gratuity! It's about $3 at our local supermarket. We are not saying that a resort wedding is not beautiful. In fact, we have some of the best resorts in the world and we will gladly plan and coordinate your wedding at a resort. We have a number on them listed in our location page, but its just we think there could be better options for some couples based on budget and privacy considerations.

Can I have chairs at my beach wedding?[ back to top ]

No, state law prohibits chairs for your wedding on the beach. The only exception is that a limited number of chairs are allowed as strictly necessary for the support of elderly, infirm, or disabled persons attending the event.

Can I have archways, canopies, tiki torches, or any other type of prop at my beach wedding?[ back to top ]

No, none of these items or props are allowed. Items that ARE allowed for use during your wedding are as follows:

Loose Flowers (Loose flower aisle runner, flower circle or heart)
Leis, Corsages, Boutonnieres, or Bouquets
Unamplified Musical Instruments (Guitars, ukulele's, harps, violin's, conch shell, ect.)
Doves or Butterflies For Releases
Camera and Camera Equipment

If there is something not on this list that you would like to have during your wedding, please ask and I will let you know if its allowed.

Can I have a small dinner or a reception right on the beach after my wedding?[ back to top ]

No, the permits do not allow for catered receptions or dinners on the beach. The rule is; if you pay someone to perform a service for your wedding on the beach, you must have a beach permit. And the beach permits do not allow for tables, chairs, plate ware, catering equipment, tiki torches/lighting, ect.

Now if you want to bring your own hibachi (small grill) and Bar-B-Q your own food and have your own little get together on the beach completely handled by you and your family privately (No money paid to any business), that's up to you. You would be just like a normal beachgoer who came to the beach and brought your own food, ect. Obviously, 99.9999% of brides and grooms would not really want to do this, but it is within your right.

Is it common to have other weddings going on while my wedding is in progress on the beach?[ back to top ]

It can be depending on the beach that you choose. A permit allows for a limited number of weddings per day, per beach. So it all depends how many permits are pulled for that beach on that particular day. Sometimes it will only be yours or it may be that all the available permits are pulled for the day. But then it would depend on the times requested whether or not you would have any other wedding going on at the same time. Its just the luck of the draw.

This is where my knowledge and experience comes into play about which beaches are more likely to have weddings or beachgoers on them and at what times of the day and year among a number of other factors. This is where taking the advise of your coordinator is so important. Part of my job is to help you minimize the possibility of intrusions by as few other weddings and beachgoers as possible. But it would be impossible, unrealistic, and unprofessional to say you will absolutely not see any other weddings or beachgoers during your ceremony. It could happen.

If I choose a beach location for my wedding, how do I prevent other weddings or beachgoers from being there?[ back to top ]

We can't. There are a certain number of permits available per day per beach. Its just the luck of the draw whether there are other wedding permits pulled. As far as beachgoers being on the beach, that's the luck of the draw too. They have just as much right to be their as you do. Remember, these are likely people who have also paid thousands of dollars to come to Maui on vacation and enjoy the natural beauty as well. They must be shown consideration.

But I will say that most, I repeat, MOST, but NOT ALL people are very respectful and realize the importance of the occasion and will voluntarily move when they see a wedding in close proximity to them. BUT WE CANNOT ASK THEM.

Can I have amplified music at my wedding or reception and for how long?[ back to top ]

PUBLIC LOCATIONS:
No, you cannot have amplified music. This is against the beach permit rules. But you can have unamplified music with the instrument of your choice. (Guitar, ukulele, violin, harp, ect.) You can have the unamplified music for the length of time you have reserved your permit for.

PRIVATE LOCATION:
Yes, the private locations will allow you to have amplified music. Most of them allow it until 10pm. (this is when by county law, the music needs to stop) Each one has slightly different rules, so I will be able to give you those details during the planning process.

If the music has to stop at 10pm and we still want to dance and party, what do we do?[ back to top ]

I can give you a number of options for an "after party". I have cultivated a number of relationships with certain establishments. So if I can guarantee them the business, some of them will keep there live entertainment going to even later hours. Contact me for more information.

Do you hire an assistant for your larger weddings, and do we pay for that?[ back to top ]

Yes, I do have an assistant with me on all of our larger weddings. If I feel that more than one assistant is needed then I will have multiple assistants with me. No, you are not charged extra for this. It comes out of the coordinator fee that you pay me.

Do you hire a "Lady In Waiting" for your large estate weddings?[ back to top ]

A "Lady In Waiting" is a separate assistant that I hire that is exclusively to attend to the bride, to assist here with whatever needs she has. This is provided at all estate weddings and you are not charged extra for this. It comes out of the coordinator fee that you pay me.

What happens if it rains on my wedding day?[ back to top ]

Obviously, rain can happen at any destination wedding location in the world and there's nothing we can do to stop it if it decides to happen. But Maui is known for its great weather, so the chances of it happening is low, BUT it could happen. Maui Weather Chart Here are the options we have in case it does rain. And remember there is a difference between just isolated cells of clouds that drop there rain for 10-20 minutes (this is the most common of the two) and a full blown rainy day encompassing the whole island (This is much more rare, only happening a handful of days a year) .

PUBLIC LOCATIONS OPTIONS:

1. Because of the relationships I have developed over the years I do have access to a very nice covered location in case you have a beach location and it rains on your wedding day. But this location is not automatic. There is a chance that this location, which also hosts outdoor weddings, may need to use it.
2. Your beach permit allows for a backup beach. The nature of rain on Maui make it possible that it may be raining at one beach and a half mile/one mile away at your backup beach, its not raining. If this is the case, we will just move your wedding to the backup beach.
3. Again, with the nature of rain on Maui, sometimes if you just wait a few minutes, the rain will stop. Obviously, we will make that judgment at that time based on visible conditions.
4. We can move your wedding to the next day if possible.
5. We have a number of umbrellas for use if your determined to go for it.

PRIVATE LOCATION OPTIONS:

1. All private locations have some form of covered area that may be used in case of rain. (house, ballroom, lanai, ect.) We would just transfer your wedding to there.
2. In the case of a private estate with a house like Honua Kai Lani or the Olowalu Plantation Estate, it may only hold a certain amount of people comfortably. If you have a larger guest count than the house will hold in case of rain, we STRONGLY suggest renting a wedding tent for your event. We have several different tent options such as a clear top tent, and they can be decorated very beautifully. Even if you want to have your reception under the stars and not use the tent, that's fine, but it will be there in case we need it. It only takes a 5 minute strong downpour to ruin all your tables with food, place settings, favors, and tablecloths, thus ruining your wedding. If you are having an estate wedding I will discuss these details with you. Remember, I am here to ensure the success of your wedding.

Why do most of your vendors have a drive fee for doing West Maui weddings?[ back to top ]

It's because 75% of all weddings take place in South Maui. Most of the vendors live on that side of the island and its a 45 min-1 hour drive to West Maui.

I don't see a location listed on your website that I want, can I still have my wedding at that location?[ back to top ]

Yes, that's not a problem. Please contact me and I will make it happen. We have our favorite sites that we recommend based upon our experience. So we don't have EVERY possible site listed. Remember too that I do not list several beaches on our website on purpose so as to try and keep them more private.  Also their are some beaches that you cannot get a beach permit for.

I have heard it can get windy in Hawaii. Will there be wind during my ceremony?[ back to top ]

Hawaii is located in the middle of the Pacific Ocean in a tropical zone. This is one reason why we have great weather all year round as well as stunning beauty throughout the islands. But also because of these factors we have normal trade winds that usually come up in the afternoons averaging between 10-20 miles per hour. This helps to keep our islands from getting to hot, keeping the temperature at a moderate level. Obviously we have no control over the natural elements such as wind. But I will tell you that the wind usually dies down in the late afternoon and it becomes much calmer by the time of most ceremonies and really dies down by sunset time. But obviously we can't guarantee this. Their may be days where you will have some wind through sunset time.

But based on my many years of experience coordinating weddings here on Maui, I know which areas and beaches are less windy or more protected by natural barriers such as rock outcroppings or foliage. If you are really concerned about the wind, I will work with you to choose a beach that's right for you.

No, Hawaii State Ordinance Law states that all outside amplified music must be complete by 10:00p.  I can give you a number of options for an "after party". I have cultivated a number of relationships with certain establishments. So if I can guarantee them the business, some of them will keep there live entertainment going to even later hours. Does the estate include rentals or food?[ back to top ]

No, everything must be brought in.

Do I have to worry about rain at this location?[ back to top ]

Obviously, rain can happen at any destination wedding location in the world and there's nothing we can do to stop it if it decides to happen. But Maui is known for its great weather, so the chances of it happening is low, BUT it could happen. Maui Weather Chart Here are the options we have in case it does rain. And remember there is a difference between just isolated cells of clouds that drop there rain for 10-20 minutes (this is the most common of the two) and a full blown rainy day encompassing the whole island (This is much more rare, only happening a handful of days a year).

The Olowalu Plantation House Estate has a house on property that can be used in case of rain, but it only holds a certain amount of people comfortably. If you have a larger guest count than the house will hold in case of rain, we STRONGLY suggest renting a wedding tent for your event. We have several different tent options such as a clear top tent, and they can be decorated very beautifully. Even if you want to have your reception under the stars and not use the tent, that's fine, but it will be there in case we need it. It only takes a 5 minute strong downpour to ruin all your tables with food, place settings, favors, and tablecloths, thus ruining your wedding. If you are having an estate wedding at The Olowalu Plantation House Estate, I will discuss these details with you. Remember, I am here to ensure the success of your wedding.

Parking at Olowalu is not unlimited. Any wedding with a guest count over 100 will need to shuttle guests in. Please contact me about Transportation options.

Secret Beach / Makena Cove[ back to top ]

I have heard so much about this beach and how amazing it is! Is this a good beach for weddings?

This beach for some reason has gained a lot more exposure than most of the other beaches on Maui. Granted, it is a beautiful spot, but so are many, many of the other 42 miles of beaches that are on Maui.

Its kind of like if someone were to ask you what the most famous or popular and best landmark to visit in New York City was.....Most people would say the Statue Of Liberty. But does that mean the Statue Of Liberty is the only great landmark to visit, and none of the other landmarks are worth visiting? No, that would be ridiculous. New York City boasts many, many other landmarks that are just as inspiring. Such as the Empire State Building, the Ground Zero Memorial, the MET, the American Museum of Natural History, the United Nations, the Chrysler Building, the Brooklyn Bridge, Central Park, just to name a few.

So to say that just this one beach is really the only one worth getting married at on Maui is narrow thinking. So the answer to the FAQ is yes, it is a beautiful beach for weddings. But it is a very small beach that tends to have A LOT of weddings on it. (See picture below in next FAQ) There are many other beaches that are just as beautiful.

That being said we DON'T recommend this beach for sunset weddings but, we DO recommend this beach for morning weddings. Morning weddings are typically from 8:00am - 9:30am.

Yes, absolutely! If you would like to create a wedding exclusively from our A La Carte section of the website, feel free. Just remember that there will be a 15% coordination fee added to each items. If you use a package, this is already built in.

Beach Permits

Why do I have to have a beach permit for my wedding?[ back to top ]

In short, because it's Hawaii state law.

Can't I just get my own beach permit?[ back to top ]

No. To get a beach permit, you must be a business carrying current liability insurance. The rule is; if you pay someone to perform a service for your wedding on the beach, you must have a beach permit, and only one of the business' with insurance can get one.

What does the beach permit include?[ back to top ]

It includes the right to have your wedding ceremony on the beach that you purchase the permit for. Depending on how much you pay, it includes a certain amount of space on the beach, and a set time period. Remember, it doesn't reserve a specific spot on the beach, but you choose a spot once you get to the beach. You cannot ask beachgoers to move. This is on a first come basis.

But what if another planner I have been talking to says I don't need a beach permit?[ back to top ]

Then run as far away from that planner as possible!  They probably don't have insurance and you would be risking having your wedding stopped in the middle by an inspector with the State Department of Land and Natural Recourses. It does happen! No professional, reputable planner who cares about your wedding would ever give that advice.

Does my beach permit allow me to do anything I want for my wedding on the beach?[ back to top ]

No, there are a number of limitations.

Because honestly, the legal document of your marriage is just that, a legal document. We want all of our brides and grooms to have a beautiful, memorable, keepsake that they can frame when they get home. Its something that will always remind them of their special day.

Marriage License

Do I need to be a resident of the state of Hawaii or the US to get a marriage license in Hawaii?[ back to top ]

No, there are no residence or citizenship requirements.

What is the legal age to marry in Hawaii?[ back to top ]

The legal age to marry is 18 years for males and females. However, with the written consent of both parents, legal guardian or family court, the male or female may be married at 16 or 17. Males and females at age 15 may marry with the written consent of both parents or legal guardian and the written approval of the judge of the family court. The parents or guardian do not have to reside in the state. Consent forms may be obtained from the marriage license agent.

Do I need to bring a form of identification with me to get my marriage license?[ back to top ]

Yes, for anyone 19 and over, proof of age may be requested in the form of an I.D. or driver's license. A certified copy of a birth certificate must be presented for anyone 18 and under.

What about blood relationships?[ back to top ]

Cousins may marry, but a blood relationship between the prospective bride and bridegroom cannot be closer than first cousins (for example: uncle-niece, half-brother-sister may not marry).

Do I need a blood test to get my marriage license?[ back to top ]

No, blood tests are not required in the State of Hawaii.

Where do I go for my marriage license?[ back to top ]

I will give you all the details during the planning process of your wedding.

Do we both need to be present to get our marriage license?[ back to top ]

Yes, both parties to the marriage must appear personally before the marriage license agent. Proxies are not allowed. Applications may not be mailed in to the agent.

Do we have a certain amount of time to actually get married after getting the license?[ back to top ]

The marriage license is good for 30 days from and including the date of its issuance, after which it becomes null and void; must be used only in the state of Hawaii and is valid throughout the state.

What is the cost of the marriage license?[ back to top ]

It is $65, which is included in the price of your wedding package. Or if you are creating a wedding strictly from our A La Carte page, we will add it to your quote. Also, an additional $5 in CASH, for a marriage license agent service fee, must be brought with you and given to the marriage licensing agent.

Does a minister or officiate need to be licensed by the state of Hawaii to perform the ceremony?[ back to top ]

Yes, absolutely!

Also, if you would like to bring your own minister or officiate from out of the State of Hawaii to perform your ceremony, HE/SHE MUST BE LICENSED BY THE STATE OF HAWAII. I can't stress this enough. Even if he/she is licensed to perform weddings in your area, they are NOT able to perform weddings here without a STATE OF HAWAII license. Even if they swear up and down to you that their local government says they can and it's OK......THEY CAN'T.

When will I get my official marriage document back to me in the mail?[ back to top ]

It normally takes 2 - 4 months to receive your official marriage document back from the State of Hawaii. However, there are 2 options if you need something sooner:

1. You can pay an additional fee and have it rushed. It will still take about 1 - 2 months.
2. You can log on to the Department of Health website and print a temporary marriage certificate that will be available about 24 hours after your ceremony. But keep in mind, this is NOT your official marriage document with the imprinted, raised seal.

No, the marriage license is only good in the State of Hawaii up to 30 days after issuance.

Your marriage document is good in all 50 US states, Canada, and most of Europe. It is good in most other countries of the world. Please check with your local government on its validity.

Yes, if you have been divorced less than 30 days, you must bring a copy of your divorce decree with you to the licensing agent.

No, you need to order a Bridal Bouquet. A purchase of a Bride's Bouquet is required in order to buy an attendant bouquet. However, if you would like your bouquet smaller than the bridal bouquet pictured, we can create that for you but it will still be charged as a bridal bouquet.

Can I send you a photo of a bouquet that I found in a magazine or on a website and have you re-create it?[ back to top ]

Giving leis have been a part of Hawaiian culture and tradition for many generations. They are a symbol of Aloha. Aloha means many things in the Hawaiian language. It means love, hello, and goodbye. Having leis as part of your wedding really adds to the atmosphere and ambiance of your special day. The ministers or officiates that we use all have a lei exchange as part their ceremony if you so choose to include it. We recommend that you do. For the groom and groomsmen, should I choose a lei over a boutonniere?[ back to top ]

We recommend the lei over the boutonniere if they are wearing anything other than a suit or tux. Boutonnieres don't sit well on just a shirt. There just isn't the support that a suit or tux jacket gives. They tend to just flop around on a shirt. But if the groom or groomsmen are going to be wearing a suit or tux jacket then a boutonniere is a good choice.

Yes, it's fine. Some brides have thought that this is "flower overkill" or not within normal etiquette, but its not a problem.

Can we have an archway, canopy or chuppah on the beach?[ back to top ]

No, none of these items or props are allowed.

NOTE: HANDHELD chuppahs that are not attached to the sand ARE allowed. They can be held up by family or those in your wedding party. But stationary chuppahs attached to the sand are NOT allowed.

Yes, each table arrangement will include a few glass votives with tea lights in them. If you are in an outdoor location and its a windy day, we will substitute the tea lights for battery operated tea lights. Also, a few of the table arrangements that we offer have candles included in them as part of the arrangement.

Can I have tall table arrangements outdoors?[ back to top ]

Due to the unstable nature of some of our tall table arrangements, we don't recommend certain ones for use outdoors because of wind. Even very light wind will knock them over. Please call me for more details.

Do you offer table arrangements with LED lights in them?[ back to top ]

Yes we do. We have LED lights in several different colors. We also have water proof LED lights.

Can I keep the LED lights?[ back to top ]

No, they are a rental and must be returned to avoid a charge.

BEACH LOCATIONS

Almost no one wears formal attire to the beach like tux's or even suits. But you can if you like. Most wear what I would classify as "Tommy Bahama" style. Google "Tommy Bahama Wedding Attire" or "Beach Wedding Attire" for ideas.

ESTATE OR PRIVATE LOCATIONS

Most wear a wide variety of attire, from tux's and suits to the more casual "Tommy Bahama" style.

Can I wear high heels in the sand for my beach wedding?[ back to top ]

I recommend bare feet or sandals. Heels will sink in the sand.

Yes, however I would advise wearing wedges or sandals. These will prevent you from sinking into the grass.

If I have my own minister or officiate I want to bring with me, do they have to be licensed by the state of Hawaii?[ back to top ]

Yes, absolutely!

If you would like to bring your own minister or officiate from out of the State of Hawaii to perform your ceremony, HE/SHE MUST BE LICENSED BY THE STATE OF HAWAII. I cant stress this enough. Even if he/she is licensed to perform weddings in your area, they are NOT able to perform weddings here without a STATE OF HAWAII license. Even if they swear up and down to you that their local government says they can and it's OK......THEY CAN'T.

I noticed that most of the ministers and officiates where either traditional Hawaiian garb or religious clothing. Can we request that they wear standard clothing?

Yes, they will gladly wear standard attire for your wedding if you request it.

Musicians and Entertainers

General

Can I bring an I-Pod and speakers and play music on the beach for my wedding?[ back to top ]

No, you cannot have amplified music on the beach. This is against the beach permit rules. But you can have unamplified music with the instrument of your choice. (Guitar, ukulele, violin, harp, ect.) You can have the unamplified music for the length of time you have reserved your permit for.

If I am at a private estate or location, and a DJ or live music isn't in my budget, can I bring an I-Pod to play music for my reception?

Yes, that's fine. Most small speakers you hook up to your I-Pod will not be good enough for an estate wedding reception. So we offer an amplifier, speakers, and mic setup for you if you would like. Remember, if you don't have a DJ or live music, you may want to have someone like your best man/maid of honor or another family member or friend M.C. your event. Please contact me for more information.

What time does the music and entertainment at a private estate or location have to stop?[ back to top ]

10 pm. These are not only the rules of all the private locations, but it's Maui County law as well.

Classical Musicians

Do the classical musicians sing in addition to playing their instruments?[ back to top ]

All of our classical musicians do not sing except for Celia Canty, our harpist. She is a trained opera singer and can sing only if requested.

Do your classical musicians play Hawaiian music?[ back to top ]

They can, and some do have Hawaiian songs in their repertoire, but they focus on playing classical and contemporary pieces.

Yes, absolutely! You can have a Hawaiian band, both male and female hula dancers, a fire knife dancer, and drummers. Everything that a traditional Hawaiian hula show has. Can I just have Hawaiian musicians and hula dancing?[ back to top ]

Yes you can. You can have a solo, duo, trio, or as many dancers as you would like.

Can I just have a Fire Knife Dancer without the rest of the luau?[ back to top ]

Yes you can. The fire knife show by itself is about 20 minutes long and includes drummers.

DJ's

Can your DJ get any song I want?[ back to top ]

Yes he can. If it can be purchased on I-Tunes or at a store, he can get it for your wedding.

But if I have a special song that can't be purchased on I-Tunes or is not part of the mainstream, can I have it played?[ back to top ]

Yes, just bring it on a flash drive to the wedding and he will play it.

Why do you have only one DJ listed on your website? What if he's booked on my wedding day?[ back to top ]

Because he is, in our opinion, the best DJ on Maui. In my experience, not all DJ's have the same level of quality, professionalism, and experience. Remember, the DJ is an important part of your wedding reception. He is the MC. He (and I, as your coordinator) have a lot to do with the timing and flow of the reception. Many DJ's tend to talk to much. We feel that your reception is not a forum for the DJ to hear his own voice. If our primary DJ is already booked on your wedding day, we have a couple of others that we like to use as well.

Audio / Visual

Do I need sound amplification at my ceremony? (Private location only, not allowed at beach)[ back to top ]

We do recommend it. But it may not be necessary in every situation. It depends on several factors. Please contact me for more information.

What kind of microphones do you use?[ back to top ]

Small, unobtrusive lapel mics are used for the ceremony. They are attached to the groom and ministers/officiates clothing with a small battery pack attached to the belt under the shirt against the back. These two mics will pick up the voice of the bride clearly.

Do I need sound amplification at my reception?[ back to top ]

It depends on a number of factors. We will discuss this in the planning process. If it is decided that you do need sound amplification for your wedding, then if you have a DJ or a live band,  NO you will not need to rent additional sound amplification.

Transportation

Limousines

Can I order a limousine for only one hour?[ back to top ]

No, there is a two hour minimum imposed by the limo company. This is standard with all the limo companies on Maui.

How many people are allowed in the limousine?[ back to top ]

A max of 8 persons.

Do the limousine's provide a stocked bar?[ back to top ]

Yes, there is a limited bar for your enjoyment. Over 21 please.

Can I bring my own alcohol in the limousine?[ back to top ]

Yes you can.

What happens if I go over the amount of time I paid for?[ back to top ]

We will charge your credit card on file for the overages and send you a receipt. What we do in case of overages or extra items ordered on the day of your wedding will be discussed with you.

What color are the limousine's?[ back to top ]

Unless otherwise stated, white will be used, but black is available on request.

Can I just order a sedan if I don't want a limousine?[ back to top ]

Yes you can. The sedans hold two persons.

Shuttles

Why would I need a shuttle for my wedding?[ back to top ]

Due to limited parking at the private estates, if you go over a certain guest count, you are required to shuttle your guests into the location. Also, providing a shuttle service for your guests allows them to enjoy alcohol if they choose at your wedding while not worrying about having a designated driver.

What size shuttles do you have?[ back to top ]

14, 25, 57, and 65 passenger options. Call me for more information.

Can I take alcohol on the shuttles?[ back to top ]

NO, you cannnot.

Can one shuttle pick up guests at different hotels and condos?[ back to top ]

Yes, a shuttle can make multiple pick up's and drop off's.

Yes, we can arrange that. In fact, its preferred.

If I found a hairstyle I like in a magazine or on the internet, can the stylist create it for me?[ back to top ]

Yes, that's actually recommended. Just send me the photo by email no later than two weeks before your wedding.

If I want to have an orchid or another type of flower in my hair, can you provide that for me?[ back to top ]

Yes, just let me know what flower you would like.

Makeup

Will the makeup artist come onsite to my hotel room or condo?[ back to top ]

Yes, we can arrange that. In fact, its preferred.

Do I need to provide my own makeup?[ back to top ]

No, our makeup artist have everything needed. However, if you have a unique color that you want to use, please bring it with you.

Can the makeup artist apply eyelashes?[ back to top ]

Yes, eyelashes for the bride are included in the price of her makeup. However, it's not included in the bridesmaids\guest makeup price.

My friends and I have used makeup artists in the past and have had some bad experiences. Will I have one with your makeup artist?

No, you won't. Our makeup artist has been working with us for years and will apply your makeup in a way that will enhance the pictures and video of your wedding. Click Here to see our past weddings page. Most of the brides you see have had their makeup done by our makeup artist.

The size of tent depends on a number of factors besides guest count. Such as whether you have a dance floor, types of tables used ect. Call me for more information.

I want to have my reception under the stars, so I don't really want a tent for my estate wedding. Leah, why do you keep suggesting that I get one?

Because I care about the success of your wedding.

Rain can happen at any destination wedding location in the world and there's nothing we can do to stop it if it decides to happen. But Maui is known for its great weather, so the chances of it happening is low, BUT it could happen. Maui Weather Chart

All private locations have some form of covered area that may be used in case of rain. (house, ballroom ect.) We would just transfer your wedding to there in case of rain. But in the case of a private estate with a house like Honua Kai Lani or the Olowalu Plantation Estate, it may only hold a certain amount of people comfortably. If you have a larger guest count than the house will hold in case of rain, we STRONGLY suggest renting a wedding tent for your event. We have several different tent options such as a clear top tent, and they can be decorated very beautifully. Even if you want to have your reception under the stars and not use the tent, that's fine, but it will be there in case we need it.

It only takes a 5 minute strong downpour to ruin all your tables with food, place settings, favors, and tablecloths, thus ruining your wedding. If you are having an estate wedding I will discuss these details with you.

Dance Floors

Do all private locations require a dance floor for dancing?[ back to top ]

Yes they do for insurance and safety reasons. FYI - one of our private locations includes a cement area that is used for a dance floor. If you choose this location and use this area, you don't have to rent a dance floor.

What size of dance floor do I need for my guest count?[ back to top ]

Dance Floor Size & Guest Count:

12x12 - 30 or Less Guest Capacity

12x16 - 31 - 60 Guest Capacity

16x18 - 61 - 99 Guest Capacity

18x24 - 100 - 150 Guest Capacity

Lighting

Can I bring tiki torches on the beach for my wedding?[ back to top ]

No, tiki torches or others props like archways, and canopy's are not allowed.

Items that ARE allowed for use during your wedding are as follows:
Loose Flowers (Loose flower aisle runner, flower circle or heart)
Leis, Corsages, Boutonnieres, or Bouquets
Unamplified Musical Instruments (Guitars, ukulele's, harps, violin's, conch shell, ect.)
Doves or Butterflies For Releases
Camera and Camera Equipment

If there is something not on this list that you would like to have during your wedding, please ask and I will let you know if its allowed.

Can I have sky lanterns for my wedding?[ back to top ]

No, Maui County law says NO to sky lanterns. They can be blown back to land by our trade winds and create a fire hazard.

I'm worried about having enough light at my estate wedding. What are my options?[ back to top ]

Lighting can come from Chinese lanterns, twinkle lights strings, Uplights and candles on the tables. We also have several different options for tent lighting. Please contact me for more information.

Wedding Favors

Basic Cake Body choices:
Vanilla Cake Body

Marble Cake Body (swirls of both vanilla and chocolate)

Specialty Cake body choices:  These carry a slight extra charge per tier
Red Velvet Cake Body (traditionally served with a cream cheese filling, although it can be served with other fillings)
Carrot cake (made with Dried Cranberries, NO nuts unless you request them. Traditionally served with a cream cheese filling, although it can be served with other fillings)
GLUTEN FREE CAKE BODY - in Vanilla or Chocolate.

Basic Filling and Flavor choices:

They can, but we highly recommend against it.

Receptions, Restaurants, and Catering

Can't I just call and make a reservation for 20 or just walk into a restaurant with my group of 20 guests and have my reception dinner?

NO, 99% of the restaurants on Maui require a set menu for groups over 12. Please contact me for more information.

Can I go to a luau for my reception diner?[ back to top ]

Yes, we can arrange it for you. Please be aware that luau's start about one hour before sunset. So you won't have sunset photos. We would recommend a morning or mid afternoon wedding if you want to have your reception at a luau.

Deposit, Payment Info and Policies

Do I have to put down a deposit for your services and how much is it?[ back to top ]

Yes, you must put a non-refundable deposit of $300 down with us confirming that your date is reserved with us. Click Here to see our policies page.

How soon should I put my deposit down?[ back to top ]

As soon as possible. Your date is not reserved until we have your deposit.  We only accept 1 wedding per day, so reserving your date is on a first come basis.

What do you charge for your services?[ back to top ]

Our different packages have different rates, but they all include our 15% coordination fee. Any items added to your packages or any wedding created exclusively from our A La Carte page will have a 15% coordination fee added to it.

What is your payment policy?[ back to top ]

1. A non-refundable deposit of $300 is required to reserve the date with us. Some of our vendors may also require separate deposits.
2. 1/2 of the remaining wedding balance is due 30 days before your wedding date.
3. The final 1/2 of your wedding balance is due 14 days before your wedding date.

Do I have to sign a contract?[ back to top ]

Yes, we have a contract that must be signed for us to accept your wedding.

Can I pay the full amount for my wedding earlier?[ back to top ]

Yes you can. Our cancellation policy will still apply the same way, even if you pay early.

Cancellation Policy:
Deposits are non refundable.
If you cancel your wedding 15-30 days prior to your wedding date, half of your wedding total will be refunded (except deposit).
If you cancel your wedding 14 days or less from your wedding date, no refunds will be made.

Yes, you can add items to your wedding all the way up until the moment your wedding is over.

Items can be cancelled without charge up to 30 DAYS before your wedding. But items cancelled inside 30 days before your wedding will still be charged. So we ask that everything be finalized 30 days prior. We will contact you before this point to confirm everything with you.

What if I order additional services from you the day of my wedding, how do I pay for that?[ back to top ]

After your wedding we will charge the card we have on file for any additional items ordered the day of your wedding and send you a receipt. During the planning process we will explain this to you and have you sign a credit card authorization form.

What forms of payment do you accept?[ back to top ]

We accept check, money order, wire transfer, Visa, Mastercard, American Express & Discover.
